Terms and Conditions for promoting community events on website

We're happy to let the community know about your event with a free online calendar listing. To successfully submit your event for inclusion in our events calendar, you must first read and agree to the following terms and conditions.

What to include in your submission

All event submissions must include:

  • an appropriate landscape-oriented image 
  • a brief description of two to three sentences
  • the start date and time
  • the end date and time
  • the event location including full address and Melway or Google Map reference
  • a contact person including their phone number and email address
  • cost to attend the event (if free, please indicate this)
  • contact and bookings email address as well as a phone number to ensure equal access by people with a hearing impairment.

Event organiser responsibilities

  • Ensure you have all relevant permits and approvals. Publication on our website does not authorise you to hold your event. 
  • Check your event listing for errors as soon as it is published. We may edit a listing on the advice of the organiser. While we make every effort to avoid errors in events listings, we accept no responsibility or liability for any errors. 

Your event listing

  • All community events will be featured in a filtered list based on their category, as well as appearing in the overall events listing.
  • Events that are not relevant to the City of Whittlesea won't be included unless they are charity events.
  • Events that discriminate against people won't be published. This includes content related to:
    • age
    • race
    • gender
    • disability
    • sexuality
    • pregnancy
    • religious or political beliefs.
  • Event listings that appear to breach any laws will not be published.
  • No event sponsors will be acknowledged in community event listings.
  • Your event may also be published in print.
  • We are not liable for any loss or damage incurred by an event organiser as a result of any failure or delay in listing an event.
  • We reserve the right to either reject or remove any event listing from its website for any reason whatsoever. 

Your privacy

The personal information you provide is needed to process your event listing and to contact you if required. We won't disclose your personal information to any other organisation and will protect it in accordance with the principles in the Information Privacy Act 2000 and our Information Privacy Policy.. You may access your personal information by contacting us on 03 9217 2170 and your personal information will be disposed of in accordance with the Public Records Act 1973
